Job Description

As the Digital Events Producer, you will manage all digital event production from start to finish for our custom built internal studio. Digital events include summits, virtual conferences, webinar presentations, and large virtual conferences. Our platform currently uses Zoom

 

This is a key role for the company as you will be responsible for scheduling and production of a wide range of events and managing both live streams and on demand content. You will collaborate with internal divisions to schedule events and finalize details. You will work with a variety of different internal and external stakeholders to optimize speaker preparation and performance. You will ensure a positive experience for attendees and execute seamless online productions as well maintain communication during our shows with the master of ceremonies.

 

You will evaluate changes to virtual platforms and accounts and recommend improvements to the digital event planning process. Finally, you will track, measure, and report on event metrics to the internal stakeholders and other colleagues.

Duties & Responsibilities

 

· Manage the show’s Zoom account, including creating links for multiple shows

· Own all workflow steps for digital events, including scheduling, rehearsals, live presentations, and recording files.

· Be the link between event managers, master of ceremonies and studio technical teams to ensure correct management of content and external stakeholders

· Ensure that the most efficient processes and best practices are being used to organize and deliver top quality virtual events to audiences. Maintain and develop documentation and virtual guides for internal use.

· Serve as the main point of contact for digital events and communicate regularly with division contacts to finalize details and answer questions. Effectively communicate the digital event process, workflow and updates to stakeholders by setting expectations and following up.

· Be the subject matter expert on inhouse virtual event technology in order to make recommendations for event managers to improve show content based on event technology capabilities.

· Maintain a consistent attendee communications cadence around event status and event messages.

· Manage the speaker onboarding process, including deliverables and deadlines. Provide speakers and stakeholders with an understanding of the technical requirements needed to create their virtual events and provide training to clients as needed.

· Coordinate all show run-throughs, rehearsals, and pre-event checks.

· Organize, prepare and upload even content for the virtual environment. Ensure presentation compliance with best practices and provide quality assurance for presentations. Oversee and provide solutions on for improved graphics, presentations, video technique, technical elements, etc.).

· Attend digital events, acting as producer and work alongside Showcaller during show execution

· Manage in ear communication to master of ceremonies during digital event.

· Manage transfer of web and video assets to internal stake holders for distribution

· Continually monitor event performance, identifying improvements if needed. Track project performance, specifically to analyze trends in digital events, and report back to Marketing Managers on a quarterly basis

· Thorough understanding of virtual event technology (Zoom) and digital event production from start to finish.

· Strong project management capabilities, including how to make good decisions with limited information available and how to adeptly pivot due to shifting priorities.

Role Overview

We are looking for a Production Designer to join our team. If you have a strong sense of design, an interest in event marketing, a positive disposition, are reliable, creative, and resourceful, then we are looking for you!

This position reports directly to the Senior Designer and will provide the opportunity to learn about best practices for design in the event marketing industry. The Production Designer is responsible for working collaboratively with the Senior Designer to provide support for client projects and internal marketing initiatives. This position includes end-to-end project collaboration from creative concept through execution/production.

·      Assist the creative team in drafting and revising digital and print layouts for emails, websites, social posts, display ads, digital OOH and print collateral

·      Adapt visuals and design language cohesively across multiple formats and mediums

·      Complete projects within set timelines, as directed by the Senior Designer

  • Stack and manage show and identify what pieces will go where within the weekly stack.
  • Meet daily with team to pitch and stack show segments
  • Meet daily with Executive Producer, Supervising Producer, re: today’s show
  • Attend weekly planning meetings with Executive Producer, Supervising Producer and producers
  • Write/supervise/edit headlines, teases, intros, tags daily
  • Oversees putting together daily show and segments
  • Line produces daily shoot
  • Times interviews in-progress (or assigns duty)
  • Collaborates and works closely with host on interview process, wardrobe continuity, content reads/rewrites
  • Manage and track the producer workload with the help of Executive Producer and Globe Newsroom Rep
  • Connect individually with Executive Producer/producers to watch past segments for improvement
  • Hold show review sessions with executive team for feedback/ideation
  • Meet with Executive Producer and/or Supervising Producer to plan and/or execute special projects (themed-shows, “Best Of” weeks, specials, etc.)

Qualifications

  • 10+ years news producer experience
  • Must have excellent news writing skills; stories, headlines, teases, etc.
  • Managerial experience with kindness and mentorship as key style points
  • Touch points to New England preferred
  • Knowledge of ENPS is advisable (or other news rundown software)
  • Excellent written, verbal communication organizational skills are required
  • Strong ability to work collaboratively in a team-oriented environment
